When a spreadsheet is no longer enough

One shared record

A spreadsheet easily becomes several competing copies once it moves through email, shared folders and local downloads. Validus Aero keeps the operational record in one database, so planners and records staff work from the same current information.

Rules applied consistently

In a spreadsheet, an expiry is only as reliable as the formula in that cell. Validus Aero calculates dates and status from the recorded completion and the configured rule for each qualification—validity, renewal method, booking window and critical period—while still allowing an authorised correction when a special case requires it.

Demand connected to capacity

Training demand and simulator availability are often planned in separate files. Validus Aero brings due checks, crew pairings, instructors and confirmed provider slots into one planning view. When LPC and OPC are completed in the same session, they can be recorded together without duplicate planning work.

Corrections remain traceable

Changing a spreadsheet cell usually removes the value that was there before. In Validus Aero, a correction records what changed, who made it and why, preserving the evidence needed to explain the record later.

Access follows responsibility

A shared spreadsheet usually gives everyone the same level of control. Validus Aero separates Administrator, Planner and Records access, so planning actions, configuration and protected record changes are available only to the appropriate roles.

Audit evidence from the current record

A prepared spreadsheet report begins ageing as soon as it is exported. Validus Aero generates the audit pack from the current crew and qualification records when it is requested, so the report reflects the database at that point in time.

Keep the spreadsheet

Excel is still useful for one-off analysis, checking a scenario or sharing a quick extract—and Validus Aero supports that. It simply should not be the only place holding the crew currency record.

Why this exists

Built from an airline training department’s real workflow.

Validus Aero began with a practical problem inside an airline training department: critical crew records, expiry calculations and planning information were spread across spreadsheets and folders. Producing a reliable answer—or evidence for an audit—required manual checking.

The system was built around that department’s real workflow and has been its live working record since August 2026. The screens shown here come from the application they use, populated with synthetic crew data.
